1. Purpose of This Policy

This Privacy Policy explains how personal data submitted through uaenotarypublic.com may be collected, used, stored and otherwise processed in connection with enquiries about UAE legal and notary-related services.

The UAE federal personal-data framework includes Federal Decree-Law No. 45 of 2021 Regarding the Protection of Personal Data and its applicable implementing framework. Other confidentiality and professional obligations may also apply to legal-service providers.

3. Personal Data We May Receive

Depending on how you contact us and the nature of your enquiry, information may include your name, email address, telephone number, nationality or country of residence, identification details, company information, job title, transaction details, correspondence and documents you choose to provide.

Notary-related matters can involve passports, Emirates IDs, corporate records, Powers of Attorney, property documents, certificates and other records containing personal data. Please do not send information that is unnecessary for the initial assessment.

This website carries no advertising technology and no chat, call-tracking or marketing pixels. The one optional technology is Google Analytics, which is described in the cookies section below and records nothing unless you accept it.

Enquiries sent through the website form

The enquiry form on this website asks for four things: your name, a mobile number, an email address and a short description of what the document needs to achieve. You may attach one file. Nothing else on the form is kept about you — the security question and the hidden anti-spam field are checked and discarded — and the form does not ask for identification documents. Please do not attach originals or scans of identity documents at the enquiry stage.

Each enquiry is saved as a private record inside this website’s own WordPress installation, together with the page you sent it from and the date it arrived. Any file you attach is moved into a directory on the same server that is configured to refuse public web requests, and is renamed so that it cannot be guessed from outside. These records can be read only by signed-in administrators of this website.

Your name, email address, mobile number, the category of the page you enquired from and the date are also copied into FluentCRM, the contact-management software installed on this website. FluentCRM is not an outside service and that copy does not leave this server. The copy does not carry your description of the matter, your attachment, the file name or the security-check answer.

4. Why Personal Data May Be Processed

Personal data may be processed where necessary to respond to an enquiry, assess whether legal assistance can be provided, communicate with you, prepare or review requested legal documents, administer a professional engagement, comply with legal or regulatory obligations, protect legal rights, maintain security and records, and operate the website.

The applicable legal basis depends on the circumstances. Consent should not be described as the sole basis for all processing where another lawful basis applies.

5. Client Enquiries Are Not Automatically a Retainer

Sending a website form, email or document does not by itself establish a lawyer-client relationship or confirm acceptance of a matter. A professional engagement begins only when the firm accepts the instruction under its applicable engagement process.

Until conflicts, scope and other required checks are completed, users should avoid sending unnecessary confidential or highly sensitive material.

Disclosure may also occur where required by law, lawful authority request or to establish, exercise or defend legal rights.

In practice the technology providers involved in running this website are: the hosting company that operates the server where the website, its database, its enquiry records and its attachments all live; that same hosting company’s mail service, which carries enquiry notifications to us; and, only once you have accepted optional analytics cookies, Google Analytics. Contact records are held in software installed on this website itself rather than sent to an outside contact-management service.

If you contact us through WhatsApp

The WhatsApp buttons and links on this site open WhatsApp with a message ready to send. They load nothing from Meta into this website and they tell us nothing about you unless you choose to send that message. If you do, the conversation takes place on WhatsApp and is handled by Meta under Meta’s own terms and privacy policy rather than this one. A WhatsApp conversation is outside our control, and we cannot represent that a message sent there is confidential in the way a communication with a professional adviser would be. For anything sensitive, please use the enquiry form or email instead.

7. International Transfers

Cross-border legal work can require documents or information to move between the UAE and another country. Website technology providers may also process information outside the UAE.

Website hosting and outgoing email for this site are provided by a commercial hosting company whose servers may be located outside the UAE, and Google Analytics — which runs only if you accept optional analytics cookies — processes data outside the UAE. Any such transfer must be handled in accordance with the applicable UAE personal-data requirements.

8. Data Security

We use reasonable organisational and technical measures to protect personal data against unauthorised access, loss, alteration or disclosure. No internet transmission or electronic storage method can be represented as absolutely secure.

In concrete terms: the site is served over HTTPS; enquiry records are stored inside WordPress and are visible only to signed-in administrators; uploaded files are kept in a directory configured to refuse public web requests and are given unpredictable names, so an attachment has no public address; and the record of outgoing email is pruned on the schedule set out below.

Users should consider whether email is appropriate for particularly sensitive originals and should follow any secure-document instructions provided for an active matter.

9. Retention

Personal data is not retained longer than necessary for the purpose for which it is processed, subject to applicable legal, regulatory, professional, accounting, dispute-management and record-keeping requirements.

The periods this website currently applies: the log of outgoing email, which records the recipient, the subject line and whether delivery succeeded, is deleted automatically after 30 days. An enquiry record and any file attached to it are kept while the matter is live and for as long as we may need them to answer questions about it or to meet a legal obligation, and are deleted once that no longer applies. You can ask us to delete an enquiry sooner.

10. Your Rights

To ask for a copy of what we hold, to have it corrected, or to have it deleted, email notary@uaenotarypublic.com. Please say which enquiry you mean — the date and the email address you used are usually enough. A request may require identity verification, and some requests may be limited where retention or processing is required by law or where another lawful exception applies. We will confirm what we have done.

Where you ask us to delete an enquiry, the WordPress record, the attached file and the contact record are removed together.

11. Cookies and Similar Technologies

This website uses a consent banner that separates strictly necessary technologies from optional ones. Strictly necessary cookies keep the site working — they remember your cookie choice and protect form submissions — and are set whatever you choose. The only optional technology is Google Analytics. Until you accept optional analytics cookies it is held in a denied state: it sets no analytics cookies and records no visit. Accepting switches it on; rejecting, or simply not choosing, leaves it off.

You can change or withdraw your choice at any time using the Cookie preferences link in the footer of every page.

12. Third-Party Websites

The website may link to official authorities or other external websites. Their privacy practices are controlled by their respective operators. A link does not mean that this website controls or is responsible for the external site's processing.
